The Faculty Activity System (FAS) is a web-hosted system powered by Watermark Faculty Success (formerly known as Digital Measures). FAS is the University's tool for tracking credentials, research activity, creative output, and service activity for instructional faculty. FAS enables faculty to enter scholarly achievements once for use in a variety of ways (department/school, college/school, and university-level reporting, online directory profile pages, faculty individual web pages, and more). FAS also provides a number of custom reporting options for faculty, including teaching history, publication history, curriculum vitae, and NIH and NSF biographical sketches, among others.
Monarch Workflow Manager
An FAS Module
Monarch Workflow Manager (MWM), commonly referred to as Workflow, is a module within FAS that supports electronic workflow processes. To access MWM, log in to FAS and select 鈥淲orkflow鈥� from the blue navigation bar at the top of the screen. The 鈥淲orkflow鈥� option is only visible to users who are participants in an active workflow process. Additional information on MWM is available here.

You will need a MIDAS ID to request access to a Digital Measures account. Mentioned below is the step-by-step process.
- Log into
- Click MY ACCOUNT
- Click ACCOUNT REQUEST
NOTE: The page might auto-populate the name of your department and code. All you will have to do is make sure the name of the department is accurate and click NEXT.
- Enter your DEPARTMENT/SCHOOL鈥橲 BUDGET CODE in the provided field.
- Click NEXT
- Under the SERVICES section, click on the DROP-DOWN MENU.
- Select DIGITAL MEASURES
- Click ADD
NOTE: DMES (Digital Measures) should be shown in the right-hand box/column under selected services.
9. Click NEXT
10. Enter JUSTIFICATION as to why you are requesting access to Digital Measures (i.e., Faculty Activity System and Monarch Workflow Manager). Example Justification: Need to access the Faculty Activity System and Monarch Workflow Manager to update my faculty records and to view my annual workflow reviews and/or promotions.
11. Click NEXT
12. Review and verify the information to ensure that the information is correct, and you are requesting 鈥淒MES Digital Measures,鈥� then click FINISH.
13. You will get a confirmation screen showing that your request was successfully submitted.
NOTE: It can take anywhere between 12 and 36 business hours for the account to be activated.
14. Email the following information to fastech@odu.edu to ensure this request gets processed.

15. You will then receive an email from ITS confirming your request. This email will also provide you with an incident number (INC0鈥�.), which is also known as a ticket number. The request will now go through the approval process.
16. You will get email notifications from ITS as the process progresses and once it has been completed.

If you have a new faculty member or administrative staff member in your department/school and need to have an account created, please have the department/school chair/director contact workflow@odu.edu to request the account.
Include the user's MIDAS ID and account type (faculty or administrative).
Your information is accessible to your department/school administrative staff, including your chair/director, as well as your dean and their administrative staff, and Academic Affairs.
Your information should be up to date by the submission deadline for your Faculty Information Sheet; however, entering activities, such as publications or presentations, throughout the year can help reduce the workload during the evaluation/promotion period.
Some of the information in FAS is imported from other authoritative systems (i.e., BANNER) and cannot be edited. Information such as the highest degrees earned are used in external reporting and may not be edited by faculty members.
If you believe any of the information that is displayed is incorrect, please email workflow@odu.edu.
Data entered in FAS is used to update the University鈥檚 online directory on a daily basis. Any information marked for display in FAS should appear on your profile after the next scheduled refresh.
If the updated date does not appear within 48 hours of being entered and marked 鈥淵es鈥� for display, please email workflow@odu.edu.
If you have scholarly work in progress that has not yet been published (for example, if it has been submitted or accepted with revisions), you may enter it into the system and use the 鈥減ublication status鈥� field to indicate its current stage. When the status changes, you can simply update the existing entry rather than creating a new entry for the publication.
Some information may have been entered on your behalf by administrative staff in your department/school or dean鈥檚 office. As a result, duplicate entries may have been unknowingly created if the same activities were later entered into the system by you. Duplicate entries can be selected and deleted from the index and/or summary screens.
The following items are automatically imported from BANNER:

Some information on certain screens can be made publicly available if you choose. You can control how your FAS data appears online by setting the 鈥渄isplay flag鈥� to 鈥榊es鈥� to show an item or to 鈥楴o鈥� (or leaving it blank) to keep it private. This setting applies to the University鈥檚 online directory, 国产伦理 Scholars, and faculty WordPress sites.
The highest degree earned or other relevant credentials are automatically displayed on the University鈥檚 online directory for all faculty.
FAS includes a customizable curriculum vitae (CV) feature that allows you to tailor your CV output for different purposes. To access it, select 鈥淩un Reports鈥� from the main menu on the left side of the screen, then click 鈥淐reate a New Report鈥� in the top right corner. Follow the on-screen instructions to generate your custom CV.

Find a tool for importing publications into FAS on the Published Works screen, under the heading 鈥楾hird Party Imports.鈥� The tool allows faculty to import publications based on name, as well as publication date range. More information can be found here: .

The CrossRef tool can be found on the Published Works screen. The tool allows faculty to import based on their name, but also with a Digital Object Identifier (DOI), which is especially helpful for faculty with names similar to other scholars publishing in the same field.
